1.0 Position Description

Job Title: Content Generation Specialist & Resource Assistant

Reports to: Owner

Job Summary:

The Executive Assistant (or Resource Assistant) guides and manages the execution of defined and prioritized projects and services as directed by the Owner, advisors, contractors, or other delegated service providers. We use the term Resource Assistant to mean the ability to communicate and work with others in order to get projects and tasks completed, and not necessarily in the way that large corporations traditionally use the term. Additionally, the Resource Assistant will provide personalized administrative support in a well-organized and timely manner. S/He will work on a one-to-one basis on a variety of tasks with an emphasis on content generation or delegating such tasks (e.g., video editing) to other contacts the Resource Assistant cultivates and maintains.

This position is meant to be part-time to allow for the candidate to have 50% of their remaining time to allocate to other clients. This is favorable in order to benefit from continued and varied experiences that other clients may generate (and vice versa).

Major Responsibilities:

1. Act as the point of contact between the Owner and internal/external clients

2. Screen and direct communications (e.g., emails, voice mail messages)

3. Website/Wordpress maintenance; Scheduling social media posts in Facebook, Instagram, Twitter using Upgrade to see actual info. Be proficient in lite graphic, creative work (e.g., adding text, borders, etc. to images, resizing images). We currently use Upgrade to see actual info and occasionally Upgrade to see actual info.

4. Create organization and process as needed around creative assets, checklists, files, etc.

5. Maintain and update email databases in Owner's Google Contacts and ActiveCampaign from business cards, email correspondence

6. Identify, manage, and develop a team of dependable specialists, contractors for social media projects, tasks (e.g., SEO, video editing, landing page creation, etc.) from such online services as Fiverr or UpWork or personal connection (preferred)

7. Produce dashboards of information, reports, presentations and briefs

8. Devise and maintain online filing system

9. Schedule and maintain weekly update meeting with Owner and Leadership team (more as necessary)

Job Requirements:
1. Broad knowledge and experience in: developing a network of specialists for key projects (e.g., SEO, video editing, landing page creation, etc.) Example: Ever created an email campaign from a CRM system? That’s OK. Know someone who has?

2. Above average skills in: working tasks independently and to completion after an understanding of project goal(s); Excellent skills in: researching internet for best practices in productivity, business processes, organization, and more; networking with other Filipino VAs to compare, teach and learn; listening for tone, clarity of thought, and understanding in meetings, conversations; Demonstrated ability to be professional, strive for excellent results, double check work, and help others achieve their goals

Education level and Experience:
1. College degree or equivalent experience preferred
2. Proven work experience as a personal assistant for minimum of 3 years
3. Knowledge of office management systems and procedures
4. Outstanding organizational and time management skills - including how to research information efficiently using the Internet
8. Up-to-date with latest productivity apps and life-hacks
9. Ability to multitask and prioritize daily workload
Upgrade to see actual infodustry experience in financial markets and/or alcohol sales, distribution considered an advantage
11. Basic knowledge of or interest in wine and French language and/or culture an advantage
12. Excellent verbal and written communications skills in English
13. Discretion and confidentiality

Specific skills and Technical Knowledge
Dropbox, Gmail, WordPress, CRM proficiency (We use ActiveCampaign), MS Office, G Suite, and English proficiency

Ability to quickly learn new software programs
Ability to communicate effectively and conversationally in English, both verbally and in writing.
