JOB OVERVIEW

JOB SUMMARY/ORGANIZATIONAL IMPACT:
You will be responsible for supporting insurance claims activity and to assist in the resolution of all types of claim related complaints and inquiries.

RESPONSIBILITIES/ ESSENTIAL FUNCTIONS:
Strong work conduct, customer service, policy, claims process, estimate writing is a plus but not mandatory, and claim closures as they relate to given claim assignment. This will ensure working relationship with our client(s) as well as the contractors working relationship with us.


• Provide quality customer service to all assigned, insured claimants throughout the claims process to ensure timely contact with the insured.
• Answer questions as they arise from a hot line number. To include documenting/logging calls and report call volume to management.
• Review open/closed claims
• Update Clients on Claim STATUS every 7 days
• Send Proof?of?Loss to client to Notarize
• Schedule inspection
• Negotiate settlement and resolve claims with involved parties in reasonable, timely and creative way
• Perform related responsibilities as required or assigned.
• Answer and direct phone calls through google voice
• Organize and schedule meetings and appointments
• Follow up with Insurance Desk adjuster every Friday--update/status
• Put notes on system call Bitrix , log all calls and follow with emails summary.
• Maintain contact lists
• Produce and distribute correspondence memos, letters, faxes and forms
• Assist in the preparation of regularly scheduled reports
• Develop and maintain a filing system
• Order office supplies
• Book travel arrangements
• Submit and reconcile expense reports
• Provide general support to visitors
• Provide information by answering questions and requests

• Prepare and monitor invoices

• Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
• Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
• Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies
• Contribute to team effort by accomplishing related results as needed
• Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
• Organize travel arrangements for senior managers
• Write letters and emails on behalf of other office staff
• Book conference calls, rooms, taxis, couriers, hotels etc.
• Cover the reception desk when required
• Maintain computer and manual filing systems
• Handle sensitive information in a confidential manner
• Take accurate minutes of meetings
• Coordinate office procedures
• Reply to email, telephone, or face to face enquiries
• Develop and update administrative systems to make them more efficient
• Resolve administrative problems
• Receive, sort, and distribute the mail
• Answer telephone calls and pass them on
• Manage staff appointments


REQUIRED QUALIFICATIONS:
• Proven admin or assistant experience
• Comprehensive knowledge of property claims practices.
• Knowledge of client specific policies and guidelines.
• Basic knowledge of construction and repair techniques, including identification of materials and damage recognition.
• Basic knowledge and understanding of the various estimating programs used in the industry.

• Excellent oral, written and interpersonal communication skills.
• Excellent time management skills and must be detail oriented.
• Must have proficient computer skills to function in house software system, , Microsoft Office Products and/or other estimating programs for evaluating and determining scope and repair costs.
