We are looking for an EXPERIENCED Events Specialist who is results oriented, can effectively prioritize tasks, and organize/coordinate events/seminars.
Primary Responsibilities:
• Assist in organizing and coordinating company events/seminars
• Book venues and arrange all other events needs such as menus, table tents, etc when required.
• Send all requests for proposal for venues. Background in using Cvent is an advantage.
• Negotiate pricing with venues
• Organize Banquet Event Orders approved by Logistics Supervisor, then signs and returns to venue along with other needed documents and information
• Negotiate pricing with venues
• Update the company project management system with all necessary event information such as contracts, Banquet Event Orders, room photos and layout
• Create and update reports (Sales, Collections, Budget, Expenses). Organize final invoices per event done.
• Coordinate the printing of all event documents such as seminar workbooks, order forms and certificates. Must be able to manage deadlines and communicate with printers from around the globe effectively
• Coordinate the design of marketing materials with an in-house creative team and ensure that all materials are updated
• Prepare references such as the bios of event guests
• Research and gather data
• Organize meetings for the Events team
• Other tasks requested
Ideal Skills and Qualifications:
A combination of training and/or experience in Event Management, Administrative Assistance or Virtual Assistance
Strong Computer skills i.e. Word, Excel, Power Point and Google Docs
Internet savvy
Extremely detail oriented
Excellent organizational skills and the proven ability to effectively prioritize work flow
Excellent listening and communication skills to ensure following and understanding instructions with little or no follow up and accurately relaying messages or instructions to others.
Excellent people and interpersonal skills as the first line of communication between the Events team and clients, the leadership team and other team members.
Ability to exercise good judgment, initiative and proactiveness
High standards of ethics and confidentiality to handle sensitive information – extremely important
Has a high speed internet connection (DSL cable and a back-up mobile internet stick) at home
Can start working full time immediately and has no plans to take an extensive holiday (3+ weeks) in the next 3 to 6 months
