JOB OVERVIEW

We build digital eCommerce solutions to help growing companies who sell online. Aside from building eCommerce stores from the ground up (primarily on BigCommerce), we build plugins, new features, integrations and configurations for our diverse range of clients. We're looking to hire a virtual assistant o support our management-level staff at our company from an account management perspective.

1. Onboarding a Client
- For context, we have a process for onboarding new clients which involves some initial administrative tasks which we are looking to assign to you. We use a project management software called Asana to manage our projects and set up the administrative side of the projects. Access to Asana & training will be provided.
- You will be responsible for reviewing & confirming Asana project details (including due dates, budgets & descriptions), and Project Management information (including primary contact, Project Manager assigned & Account Manager assigned).
- Once the project is set up in Asana, you will subsequently be responsible for emailing the client the Asana documentation attached using a template we will provide to you. This is a ‘welcome’ email to onboard them/begin the project.
- You will be responsible for editing Everhour (employee/project time-tracking software) to add the respective budgets to projects, as provided by the Project Manager or Account Manager.
- Training & a detailed checklist will be provided

2. Checking-In During a Project
- You will remain involved in projects throughout their duration, checking in at various points & milestones to help the Project Managers & Account Managers.
- Your responsibilities include checking in ?internally? on budgets and providing reports/updates/reminders to keep the project on track, checking in on accounts receivable and reminding management to review such items, as well as checking in on Asana ‘open items’ (tasks that may have different statuses) by reminding the appropriate staff member to move the projects forward
- Training & a detailed checklist will be provided

Qualifications & Skills Required:

- Strong English comprehension, reading & writing skills
- Skills & experience in data entry
- Very organized
- Basic knowledge & understanding of eCommerce, websites & using online softwares
- Experience with Asana and Slack is a bonus ?but not required
- Strong attention to detail & discipline with tasks provided
- Strong communication skills & coachable
