WHO ARE WE LOOKING FOR?

We are looking for an administrative assistant ideally with previous experience performing HR-related clerical tasks such as organizing calendars, updating excel sheets, answering FAQ by team members and overall acting as a support system for the P&C Upgrade to see actual info is a huge asset if the candidate has performed payroll related duties in their past experience.

WORK HOURS: 7 am - 3 pm EST time

RESPONSIBILITIES:

- Prepare in-house and remote payroll for the P&C manager every other week
- Document any pay changes, vacation or sick leaves as they come up (must make sure it reflects on the appropriate payroll period)
- Manage and update HR databases with different information such as new hires, terminations, sick leaves, vacation and days off
- Assist the on-boarding process for new employees
- Help the P&C team to facilitate the creation of job ads and job descriptions by liaising with the Team leaders and ensuring forms are filled out correctly
- Be a Hubstaff specialist, learn how to use it and advise team members what to do when they have an issue with their Hubstaff
- Answer any questions by any team members pertaining to leave requests, contracts, their pay etc.

REQUIRED:

- Must have strong verbal and written communication
- At least 1 year experience as an administrative assistant in the HR field
- Advanced organizational skills
- Adept in technology
- Must be able to work with confidential information
- Must be resourceful (e.g. if your team leader is handling a crisis and cannot be there right away, how will you use your resources to figure out the task at hand?)
- Anticipates needs as this role requires a lot of "pre-planning" duties

NOT REQUIRED BUT AN ASSET:

- Legal experience and have worked with legal contracts
- HR education
- Experience working in a start-up work environment
