Love Hawaii Villas is a vacation rental property management firm. We manage vacation properties in destination locations throughout Hawaii. Our Team serves the Owners and Guests of these properties by coordinating and assisting with property care, marketing and bookings for their properties, generating owner statements and payments as well as a wide array of Guest services, housekeeping and inspections. We help to facilitate unforgettable experiences for our Upgrade to see actual info 2018 we confirmed more than 750 reservations and welcomed more than 4,500 Guests into our vacation rentals. Position Title:
Guest Services and Administrative Support

Position Summary:
A part-time or full-time position responsible for assisting with various Guest Services and Administrative Support functions for a busy real estate and vacation rental management company.

Position Objectives:
Alleviate the administrative workload for the Owners and Managers of Love Hawaii Realty and Love Hawaii Villas, while providing excellent service to the Clients that are being communicated with.

Work remotely

Reports to:
Owner, Munro Murdock, and Executive Assistant, Lehua Mokiao-Fragoso

Responsibilities and Expectations:
Assist with Guest Services and post-reservation processing checklist
Contact all Guests by email within 24-48 hours of booking:
Collect and confirm Guest phone numbers (mobile and home), email addresses (get as many Guest email addresses as possible), mailing address
Collect all arrival and departure flight information
Collect all Guest names and ages of Guests under 18
Collect specific special request information, such as twins as twins or twins to king conversion, pack n play, high chair, special event or celebration for their trip, any information needed for grocery delivery services or other concierge contacts
Based on their flight data, determine if there might be a request for an early check-in or late check-out and make note of that in the reservation
Remind Guests to download and share the “Love Hawaii Villas” mobile app from the app store. Text them a link to download it and ask them to share the app with everyone in their party to access up to date information on their reservation and property details.
Enter all data received into Escapia and Breezeway for team to access
Register all Guests with the appropriate Association
Confirm that 100% of required information is received and entered at least one MONTH prior to Guest arrival
Forward any requests for additional information to Guest Services Manager
All final notes updated prior to Guest arrival to ensure a smooth hand-off to the on-site Guest Services Team
Automated email messaging to go out to all arriving Guests letting them know who their point of contact is upon arriving on-island
Pass along any Guest requests to Management that you are not sure how to handle
Schedule all greetings in Breezeway
Communicate with other Team Managers, when appropriate
Fulfill other administrative support responsibilities, as instructed

Schedule:
To be determined during the interview process
Part-time (PHP 10k/month) or Full-time (PHP 20k/month) potential, as needed
Daily hours and set schedule to be determined
Some work may be required on nights, weekends and holidays

Compensation:
Independent contractor position
All hours worked to be tracked and logged in T-sheets application
Paid twice monthly around the 5th and the Upgrade to see actual infostructions to Apply:
