Job description
Remote PA/Executive Assistant
We are a small, growing property company looking to recruit a Remote PA/Executive Assistant with property experience working on a self-employed, part-time basis to carry out the following tasks.
Key Results Area
Ensure all research is accurate and timely
Respond to all requests in a timely manner
Reconcile Xero entries with a high level of attention to detail
Ensure all communications are professional
Research and PA tasks
Carry out weekly property research in line with our search criteria to find potential properties to rent or purchase
Update and upload documents onto our property CRM system
Carry out ad hoc PA tasks such as writing job descriptions, general research, chasing invoices, liaising with property cleaners, office tasks, obtaining insurance quotes, investigating travel options and costs etc.
Respond to and manage guest queries and questions
General Property tasks
Assist in holiday let management and coordinating activity
Document processes
Use Trello and Asana to receive work instructions and tasks
Chasing estate agents for progress updates in relation to property purchasing
File invoices in monthly finance folder
Website/Social Media/Email
Managing a LinkedIn account
Xero
Previous knowledge of Xero and/or bookkeeping would be an advantage
Skills/experience
High level of written and spoken English is essential
Previous property or holiday letting experience desirable.
Previous experience of remote working as a Virtual or Personal Assistant essential
Available Monday to Friday during standard UK morning office hours and some weekends
Flexible
Capable of undertaking a variety of different tasks
Effective communicator
Be able to confidently represent our business in a professional and effective manner
Use Google office applications such as sheets, docs, GDrive Upgrade to see actual infoe CRM to load new leads and update progression
Daily tasks
Check email property alerts from portals and load potential properties onto CRM
Respond to queries and emails
Manage gumtree and other online advertisements
Weekly tasks
Conduct follow up on deals not agreed
Adhoc
Research and produce reports relating to properties in various locations of the UK.
Obtain comparable sale and rental property information for new investments.
Create templates for invoices and any such documents as required
Research market trends, area statistics and house prices for various areas of the country.
Be confident in using Rightmove, Zoopla and other property-related websites.
