JOB OVERVIEW

The purpose of the job is to act as the communication link between customers and account managers so that the customers experience a consistent and high quality response whenever they contact the company regarding the supply of Hardware, Software or Services, by providing the information required to fulfil quotations and orders. There will also be various financial and administrative tasks to manage and undertake.

Job Function and Responsibilities

1. Sales and Technical Support - to manage and undertake the production of quotations, purchase orders and invoices to include:
• Sourcing new suppliers
• Researching products and prices of equipment required to fulfil orders
• Arranging deliveries, collection and returns and managing problems with suppliers
• Working with Northern Star Account Managers and suppliers to obtain specification, pricing and availability information on products and services
• Updating opportunities in CRM on a regular basis and supporting the sales process as follows:
o Converting opportunities into orders upon receiving confirmation from clients
o Issuing CRM invoices
o Matching supplier invoices with purchase orders and delivery notes
o Create Sign Offs on CRM for completed projects and email them to customers for authorisation
• Place orders with suppliers upon payment being received for HW and SW
• Ensuring that all items ordered have purchase orders raised
• Communicating delivery and installation dates and organising delivery of goods to customer sites

2. Finance –
• Contacting Northern Star and Office365 customers with outstanding invoices due and requesting payment
• Posting Office365 purchase and sales invoices in Sage
• Issuing Northern Star rental invoices on the last day of each month

3. Administration - To undertake administration tasks assigned, including:
• Answering the telephone and taking messages
• To manage and undertake various short term tasks and projects assigned to you by the Sales and Support Teams.

4. To ensure that your knowledge is kept up to date through reading, internet resources, trade newspapers and courses.

Person Specification
1. Bright and enthusiastic person, able to work largely unsupervised
2. Good telephone manner and spoken English
3. Good written English and ability to write clearly and express product information concisely
4. Good IT literacy
5. Fun, friendly disposition; someone who likes to be part of a team
