JOB OVERVIEW

We are looking for a proactive virtual assistant who is:

Meticulous and attentive to detail
Resourceful and has initiative
Has good eye for aesthetics
Fast and eager learner
Has excellent spoken & written English
Extremely organised and can manage different tasks
Has experience in organizing and managing projects/events
Has experience in social media marketing


MAIN RESPONSIBILITIES:

1. Liaise between client, account managers and the creative team
Receive all client logs and get their requirements, additional requests, instructions
Follow up on information, photos and whatever is necessary with client and/or account managers
Compile data and photos and save to necessary folder and sheets
Manage external communications (dealing with emails)

2. Manage creative production team
Overall team and task organisation to ensure content is delivered and scheduled to a high standard for clients each month
Check each client’s ad plan and ensure there are ads and posts prepared for them for the next month
Organise and monitor all tasks for the creative team to ensure all deliverables are on time
Make sure there are ads and posts ready for the whole month
Make sure content writer and artist have enough tasks for the day and are able to complete the task on time
Manage the creative team to deliver the product/service our clients have purchased on time and to sufficient quality.
Oversee the whole creative process - managing 25 accounts, 2 people + other tasks listed.
Enable the creative team to work on WRSM marketing for a limited time per week/month.

3. Manage all of our clients’ ads and posts
Check copies and images match
proof reading of content and making sure image is "perfect" (error free)
Schedule ads and posts for each client and compile all links for the account managers to check
Send final preview of ads and posts to client before the start of the month

4. Boost weekly Facebook posts

5. Check Facebook notifications on a daily basis for our monthly managed accounts

6. Manage the set-up phase of a new client into our system
Update tracking sheets (master list)
Create Google drive folders, Trello cards
Create advertising plan and get it approved
Organise creative team to create a design concept
Upgrade to see actual info Facebook pages
Ensure we have access to their ad account ad page
Schedule report on ReportGarden
Prepare audit reports based on a simple template to fill out

Apart from those main roles, this person should:

1. Attend meetings and take notes and then complete/follow-up actions
2. Check emails and forward to the right person; Action any emails you can including scheduling meetings.
3. Work with the owners to ensure that WRSM runs in an automated, systematic way as possible; to develop and implement the “processes, guidelines and get the right, key people for the team
4. Give tasks to creative team, making sure the instructions are plain and simple and following up with tasks
5. Coordinate with our Sales Representatives and Account Manager

It is a full time 40 hrs/wk, 5 days a week role, so we expect you to be solely working for us.
You must also have a stable internet connection. Work hours are 8/9am-4/5pm Australian (Brisbane) time.
