JOB OVERVIEW

US based Independent insurance agency seeking client facing virtual assistant. We are located in central time zone so would need to be available during our regular work hours. Will use Slack to communicate with office here. During scheduled work hours you must be exclusively available to our agency. Will not allow working concurrently for another employer. This is a client facing position.

Typical Duties: This is A LOT of data entry
• Insured requested ID cards.
• Insured requested Dec page or policy jacket.
• Sends out cancel request forms to insured via Hellosign when requested by an Account Manager or Producer.
• Signed cancels received from the insured needing to be processed with the carrier.
• Mortgagee changes and EOPs to lenders.
• Insured requested copies of bills or notices.
• Lienholder or Lessor changes.
• Retrieving notices of cancellations and memos from carrier websites weekly.
• Calling out on all notices of cancellation and following up to ensure policies are paid.
• Endorsements such as adding/removing jewelry, updating umbrellas, removing cars/coverage/drivers, adding discounts to all personal lines.
• Assists with incoming service calls and directs to appropriate Account Manager.
• Handles all incoming calls during meetings and office closures.
• Manages renewal spreadsheets for Account Manager and determines which accounts needs to be pro-actively remarketed form a premium standpoint
• Sets up AMS for the Account Managers for the clients listed above that need to be remarketed.
• Handles all billing calls, updates to banking information
• Sorts and distributes all mail. Attaches notices in AMS received by mail that are informational only
• Assist with incoming service calls and direct to appropriate Account Manager as needed
• Run weekly company reports - for UW/cancels, late pays, Renewals, and New business
• Download docs from carrier sites for renewals, cancellations, endorsements
• Updating Quote spreadsheet
• Adding notes/quotes to AMS
• Updating Infusionsoft software as needed


Hiring Process & Must Haves
• Will require video interviews via Skype
• Must have dedicated internet service
• Must be available Monday- Friday during normal CST work hours
• Will need to complete personality assessments
• Background check required
• High Proficiency in both oral and written communication in English as the job includes direct contact with agents, owner, and insured's.
• Must be familiar with using virtual desktop software
• Must have own computer with at least Windows 7 and prefer 2 monitors
• During our normally scheduled/contracted hours, you cannot work for another company at the same time.
