JOB OVERVIEW

We are a property management company based in London which is looking to expand into the Philippines.

The business is set to expand rapidly both in London and the Philippines and the CEO is looking for top-quality Executive Assistant/Office Manager to join their London office, who is dynamic and highly organised. We expect that 70% of your time will be focused on EA duties with the remaining 30% on broader organisational projects, such as the arrangements surrounding the expansion of our office in Manilla. Initially you will be working from home and during London hours (9am - 6pm).

You must be university educated, have at least 3 years experience in an executive assistant based role and be completely fluent in written and oral English.

Job Specification:

To proactively manage all aspects of the CEO’s schedule to ensure they are making the best use of their time, including and not limited to the following:
• Extensive diary management. Ensure the MD is fully prepared for all meetings with all necessary documentation and information
• Travel booking
• Preparing Board packs, taking minutes and chasing actions from leadership team.
• Through research, existing materials and working with internal colleagues; create executive level documents, reports and presentations on relevant topics identified by one or more of the Directors.
• Budget tracking and processing expenses
• Support with business conference planning and related budget management
• Manage and support relevant projects and committees and follow up with team members where required
• Solve simple IT problems on behalf of the Directors and/or contact the IT department when necessary
• Diarising social and work engagements and keeping up to date with new openings in London and Manilla
• To represent the MD to third parties internally and externally
• Booking meetings
• Dealing with client queries
Email management
• To manage all the CEO's administration including filing, photocopying, and expenses
