NDIS Admin Assistant

Part-Time (3 hours starting)
Harmony Hub is seeking an experienced NDIS Admin Assistant to support our growing team. This role is ideal for someone with hands-on NDIS administration experience who understands the importance of accuracy, compliance, and participant-focused support.

This role requires proven experience in creating NDIS quotes for support services in line with current NDIS Pricing Arrangements and operational rules.

Key Responsibilities
Create accurate and compliant NDIS quotes for support services
Manage participant and employee onboarding within the NDIS framework
Prepare and maintain essential NDIS documentation (service agreements, intake forms, consent forms)
Support day-to-day administrative tasks
Maintain and update records using Excel, SharePoint and internal systems
Maintain participant records in line with NDIS documentation and evidence requirements
Communicate professionally with participants, families, support coordinators, and support workers
Assist with scheduling, inbox management, and general admin support
Requirements
1–3 years’ experience as an Admin Assistant in the NDIS industry
Proven experience creating NDIS quotes (mandatory)
Strong Excel skills (advanced formulas preferred)
Experience onboarding both participants and staff in a NDIS environment
Understanding of NDIS pricing, service agreements, and compliance requirements
Experience using NDIS software CRM (e.g. Caremaster, shift care or similar)
Comfortable using basic AI tools such as ChatGPT to improve efficiency
Excellent written and verbal communication skills
High attention to detail and ability to manage multiple priorities
Understanding of NDIS Price Guide, support categories, and claimable line items
Knowledge of NDIS Code of Conduct, recordkeeping requirements, and participant rights
Desirable (But Not Essential)
Experience with NDIS invoicing and claims
Knowledge of plan-managed and self-managed participants
Experience working with SOPs and process-driven environments
