Responsibilities:

Communication - correspond on the CEO’s behalf and communicate with various internal and external contacts
Travel Guru - get our CEO where he needs to go
Expert Meeting Management - Play an integral role in planning meetings with our investors, customers and board of directors
Lead the charge - be a crucial point person for high-level communication - be the gatekeeper, be the messenger, be the company cheerleader

Provide high-level/confidential administrative support to CEO
Schedule meetings/calls and maintain calendar
Book travel and hotels, assisting with event planning
Coordinate the execution of legal documents
Schedule and coordinate executive meetings; cross-department meetings, company meetings and training sessions both on and offsite, oftentimes drafting and/or editing executive communications, agendas and presentation materials; ordering refreshments and recording, transcribing and distributing minutes of meetings as needed
Manage and maintain schedules, appointments and travel arrangements
Process and complete expense reports for executives, administrative staff and company committee expenditures
Receive and interact with office visitors/customers/potential clients
Maintain structured records management procedures for hard and soft copy filings of client contracts, legal, due diligence and corporate documents
Other projects as assigned

Requirements:

1-2 years of demonstrated executive assistant experience in a fast-paced, high-velocity office, customer facing or hospitality setting
Excellent quantitative skills and attention to detail
Strong verbal and written communication skills
Ability to learn quickly and adapt to a growing and changing environment
Must be organized, personable, and receptive to feedback
Ability to work independently and as a part of a team as needed
Experience managing a busy calendar with competing deadlines and demands
Stellar communication skills (written and verbal)
Exceptionally organized
Event and travel coordination and execution
Superior time management, multi-tasking and calendaring skills
Technically adept
