Succeed Practice Management (SPM) is seeking a remote Executive Assistant based in the Philippines to support Succeed Healthcare Solutions (SHS). This is your opportunity to play a pivotal role in driving operational excellence, fostering client relationships, and contributing to business growth.
What You’ll Do
As an Executive Assistant, you will ensure smooth day-to-day operations for SHS by managing schedules, client engagement, and stakeholder collaboration. You’ll be instrumental in supporting SHS’s mission to empower families through evidence-based therapy services.
Key Responsibilities:
Fill and Bill Operations:
- Proactively manage client schedules, identifying and filling gaps to optimise therapist utilisation.
- Follow up on potential client inquiries to ensure a high conversion rate to booked appointments.
- Collaborate with the accountant to process invoices and payments accurately and efficiently.
Client Engagement and Retention:
- Monitor the active client list, re-engaging individuals without upcoming appointments through personalised communication.
- Build lasting relationships with clients through tailored follow-ups and updates.
- Conduct client satisfaction surveys to gather insights and improve service delivery.
- Respond promptly to client inquiries, resolving issues within 24 hours to ensure exceptional service.
Stakeholder Collaboration and Referral Generation:
- Foster strong relationships with external stakeholders, including referral sources, community organisations, and other providers.
- Actively seek and nurture referral opportunities to attract new clients to SHS.
- Participate in team collaboration to expand SHS’s network and maximise referral potential.
Administrative Excellence:
- Maintain accurate records and ensure all administrative processes, such as data entry, scheduling, and client communication, are completed on time.
- Implement process improvements to enhance efficiency and client satisfaction.
- Utilise CRM systems and scheduling tools to track metrics related to client retention, referrals, and revenue growth.
Metrics for Success (KPIs):
- Revenue Generation: Achieve a 3x return on wages and benefits through operational activities.
- Client Retention: Maintain a 90% rebooking rate for active clients.
- Inquiry Conversion: Convert at least 80% of inquiries into active appointments.
- Stakeholder Collaboration: Drive measurable increases in referrals from external sources.
- Customer Satisfaction: Achieve a client satisfaction score of 90% or higher.
- Operational Efficiency: Complete 95% or more tasks within set deadlines.

- Bachelor's Degree or at least 3 years of experience in Executive Assistent/Administrative roles, particularly in client management, scheduling, or customer service preferably in a healthcare setting.
- Exceptional organisational and time management skills, with the ability to prioritise effectively.
- Proficiency in CRM systems, scheduling tools, and Microsoft Office Suite.
- A proactive approach to problem-solving with a focus on achieving measurable results.

Work Schedule
8:00 am to 5:00 pm weekdays (1-hour lunch break), Brisbane time (6:00 am to 3:00 pm in the Philippines).
